HOW TO DEVELOP QUALITY CLAIM DOCUMENTATION:

You are responsible for proving the value of your loss - not your insurance company. When your insurance adjuster voluntarily offers to create an inventory for you, be sure to understand that their presentation of your losses will not remotely resemble the entirety of your actual losses. For example, if you expect to be paid by your insurer for all of your personal property lost, you will need to develop a comprehensive personal property inventory and valuation of each item.

This documentation should include at least the following information: 
1. the description of item: make, model, SN
2. photos of item, if available
3. quantity of item
4. source of item
5. date of purchase/age of item
6. verified estimates for the repair or replacement of the item
7. sales tax on item
8. depreciated value of the item
9. additional costs, if any, to acquire the item
10. actual cash value of item
11. receipts or other proofs of ownership particularly on expensive items
12. appreciation unrealized on certain items
13. availability of item in the marketplace
14. Tangible differences between your damaged item and its “functional equivalence”
15. value added by historical significance or rarity

From the above list, your insurance company will require numbers: 1, 3 and 5 as a part of your proof of loss. If you supply only 1, 3 and 5, the minimum of information, you will have complied with the terms of the insuring agreement but you will not receive the full benefit of your insurance.
